The client: Koffein Service and Koffein Roasters

Since 2012, Koffein Service has rented coffee machines to offices and industrial sites and regularly delivers coffee and supplies to them. By its own figures, it serves more than 400,000 coffees a month to more than 600 partner companies, with no separate rental, service or delivery fee: the monthly charge is based on the coffee ordered.

Koffein Roasters is the group’s consumer brand. It was created because partners wanted to drink their office coffee at home too, and it offers coffees from selected small Hungarian and Italian roasters, along with coffee brewing equipment.

The challenge

Recurring orders, rental fees, multiple systems

Partners use a closed, login-only Magento portal to order coffee and supplies, report faults and track their invoices. Most orders are recurring, rental fees and monthly fixed fees have to be invoiced based on orders, logistics run through iLogistic, and customer management and invoicing run in MiniCRM.

In summer 2025 we took over the system from another developer, with no version control in place. The goal: a stable, automated B2B portal, followed by a new consumer webshop for Koffein Roasters on the same system.

The solution

Takeover, automation, a new webshop

We moved Magento to new hosting, introduced a Git and GitLab-based development and deployment workflow (the first production deployment was in September 2025), and keep the system maintained with regular security updates. We then automated and extended the B2B operations step by step, and in 2026 we built the Hyvä-based Koffein Roasters webshop on the same installation.

Recurring orders and automated invoicing

  • We extended recurring orders to partners paying by bank transfer and cash on delivery, not just those with a saved card.
  • A reminder email 1–2 days before each recurring order, taking supply limits into account.
  • Rental fee mode: the order total is sent to MiniCRM as a single “Rental fee” invoice line.
  • Monthly fixed fees (such as milk cooler rental) are added automatically to the first order of the month, and added again if that order is canceled.
  • Ordering is blocked when an invoice is overdue, with a notice shown on the portal.

Managing coffee machines and supplies on the portal

Coffee machines are managed as Magento products, so limits per machine type can be set in the admin, and partners can see a list of their machines with details and videos. Water filter orders are tied to the machine type (one per machine every three months), and fault reports go from the portal straight into MiniCRM. We also made the iLogistic sync and SimplePay recurring payments more reliable.

One multi-website Magento: B2B portal and consumer webshop

Koffein Roasters’ Hungarian (HUF) and Austrian (EUR) stores run on the same Magento installation as the B2B portal. The MiniCRM integration and the per-partner price matrix can be switched on per website, so the consumer store inherits none of the rental logic, and the two brands’ order numbers use separate sequences.

Hyvä coffee webshop with a custom widget set

The new Koffein Roasters webshop is being built on Hyvä from Figma designs. We built a custom widget set: a homepage hero, a monthly offer, product carousels, brewing methods, video stories, reviews, and a roaster widget that appears automatically based on the product’s roaster. Five new coffee attributes (roast level, roaster, coffee type, region, country) let shoppers filter by taste. Mirasvit search, a one-page checkout, SimplePay, GLS and Packeta round it out. The webshop is in pre-launch testing, with data carried over from the previous WooCommerce store.

FAQ

Frequently asked questions

Can a B2B portal and a B2C webshop run on one multi-website Magento installation?

Yes. The Koffein Service B2B portal and the Koffein Roasters webshop run on one Magento installation. The B2B integrations can be switched on per website, so the two stores don't interfere with each other.

Can recurring B2B orders be automated for partners who pay by bank transfer?

Yes. On the Koffein portal, recurring orders also work with bank transfer and cash on delivery, and the partner receives a reminder email beforehand.

Can Magento automatically invoice rental or monthly fixed fees through MiniCRM?

Yes. Rental fee mode sends the order total to MiniCRM as a single rental fee line, and monthly fixed fees are added automatically to the first order of the month.

How do you safely take over a Magento project from another developer?

By migrating the hosting, putting the code under Git version control, setting up a controlled deployment process and applying regular security updates, just as we did for Koffein Service.

Can one webshop sell in forints and euros, to both Hungary and Austria?

Yes. Koffein Roasters' Hungarian and Austrian stores run on the same system, each with its own language and currency.
